A compressor fails in the fourth summer. The homeowner calls you, not the manufacturer. The warranty claim needs the model, the serial, the install date, and proof of purchase — and every one of those is on an equipment invoice that went in the glovebox in year one. HVAC is the trade where the materials ticket has a long tail, and it deserves a filing habit built for that.

What's on an equipment invoice that a parts ticket doesn't have

  • Photograph the invoice with the serials legible. Flat, in focus, the serial block readable. If the serial is only on the unit's data plate, shoot that too, at install.
  • File it to the job — the address. The job reference at the counter should be the address or the customer name, the same one your service records use.
  • Register the warranty from the ticket, not from memory. The invoice photo has every field registration wants.
  • Keep the account structure in mind. Johnstone stores are independently owned; Carrier Enterprise, Gemaire, and Homans are separate accounts under Watsco. The house that sold the unit is the one that can reprint the invoice — if you ever need to ask.
