How the account is structured (one company, but each branch keeps its own book)
Hajoca runs on a branch model: one company on paper, but every location keeps its own customers, its own credit decisions, and its own statement. Your account at one branch is not automatically an account at the next one over.
What that means for your books: treat each Hajoca branch you buy from as its own supplier. Separate account numbers, a separate statement each month, separate job-reference setup, and a separate authorized-buyer list. The upside is speed — the manager who can fix a mis-keyed ticket is standing at the counter.
Hajoca specifics
Hajoca is intentionally decentralized: each location is run as its own business, and many keep the local trade name they had before joining — so your ticket may say Hughes, Moore, or another local name while the account is a Hajoca account. Each location manages its own customers and credit.
Buying from two Hajoca locations usually means two accounts and two statements, even in the same region. Set up the job reference and authorized buyers at each one separately, and reconcile each statement on its own.
The local model means the manager who can fix a mis-keyed account or a missing credit memo is at the counter. Bring the invoice number, not a date.
The setup that makes Hajoca tickets file themselves
- Ask for a job account per active project. Give the branch your job list; the job name then prints from their system instead of being typed at the counter. Do this at every Hajoca location you use.
- Ask for a required job reference on counter sales, so a blank-job ticket gets stopped at the register.
- Use job names your crew actually says. “SMITH-KITCHEN” survives the counter; “Job 2024-117” comes back as 2024-171 half the time.
- Keep the authorized-buyer list current. The account is a charge card with your name on it; tell the branch the day someone leaves.
- Snap the ticket at the counter. Flat, four corners in frame, before you walk out — the counter is the one moment the ticket is guaranteed to be in your hand.
Month end: pay from invoices, reconcile with the statement

Match every invoice number on it to a ticket or packing slip you hold, circle the lines with no match and call the branch with the invoice number, verify every return became a credit memo, and check that last month's payment landed on the right invoices. Because Hajoca accounts are managed location by location, expect one statement per location and run the routine for each. How do I get a copy of a Hajoca invoice?
Ask the Hajoca branch that rang the sale for a copy by invoice number — the counter or your inside sales rep can reprint or email it — or pull it from your online account if you have one. Keep the invoice number handy: it is how the branch finds the ticket and how a return generates its credit memo.
Does Hajoca offer job accounts or job references on invoices?
Yes — ask the branch. Most supply houses will set up a job account or sub-account per project so the job name prints on every ticket, and many can require a job reference before a counter sale is rung. Because Hajoca accounts are managed location by location, set this up at every Hajoca location you buy from.
How do I reconcile a Hajoca statement?
Pay from invoices, reconcile with the statement. Match every invoice number on the statement to a ticket or packing slip you hold (same number, same amount), circle any line with no match and call the branch with that invoice number, confirm every return became a credit memo, and check that last month's payment was applied to the right invoices.
